Quotes are a tool for communication and negotiation with potential customers — not surprisingly, that means that quotes often need to be revised. A Quote may be updated several times before eventually being confirmed and converted into an Order.
Finding the Quote
Before you can modify your quote, you will need to find it. The easiest way to locate a quote is through the Quotes list, which you can find in the left navigation.
If you have a lot of active Quotes, you may need to search for the Quote, using the customer name, quote number, or delivery location. Once you have located the Quote on the list, open it by clicking on the blue ‘open’ button.
This will bring up the Quote record: the general information about the order, including the Shipment and Pick-Up/Delivery Information. The record also includes any Revenue and Quote Rates you have already added to the quote.
Editing Quote Details
In order to change any of the basic Quote details — including general information, shipment details, or the pick-up or delivery information — you will need to click on the ‘Edit Record’ button at the top of the record. This will bring up the Edit Quote page.
If you are changing the quote, you can use the Revised Date field to indicate that a new revision has taken place. This can be particularly helpful if more than one person at your company might be dealing with the quote.
If you are updating or confirming a new pick-up or delivery address, you will probably want to click the ‘Create Location’ button to create a proper Location record for that new address.
Once you have updated the Quote details, click the ‘Save’ button at the bottom of the page to save the changes and return to the Quote Record.
Revenue, Quote Rates, Notes
Changes to the other sections of a Quote follow the same procedure as when you were creating the Quote in the first place. For a reminder, check out the Creating a Quote article.
